Follow these concrete steps in order to produce a print-ready file that prints as expected at home, the office, or a print shop. Read each section and apply the small checks before you export a PDF—these prevent the most common printing problems.
1. Set page size, orientation, margins, and bleed first
Decide the final finished size before you begin layout (A4, US Letter, or a custom trim size). If the document is printed at a specific size, set the document to that exact size rather than relying on “scale to fit” at print time.
- Margins / safe area: Keep text and important elements a safe distance from the trim edge. A common safe margin is roughly 3–6 mm (about 0.125–0.25 in); increase that for small printers or for text that must never be trimmed.
- Bleed: Add bleed when any color, image, or design element should extend to the edge of the finished page. A typical bleed is about 3 mm (0.125 in) but follow your printer’s specification.
- Crop marks: Include crop marks in the export when the printer expects them; do not add marks if the printer says they will add imposition and marks themselves.
2. Prepare images and graphics
Images are the most frequent cause of poor prints. Confirm each image’s resolution and pixel dimensions at the final print size before exporting.
- Target resolution: For photographs, aim for roughly 300 dpi at the final print size. For example, an 8-inch-wide photo should be about 2400 pixels wide (8 × 300 = 2400).
- How to check dpi: Divide the image pixel width by the intended printed width in inches to calculate dpi. If the result is well below 300, find a higher-resolution source or reduce the printed size.
- Use vectors for logos and line art: Keep logos and line drawings as vector files (AI, EPS, SVG or PDFs) so they remain sharp at any size. If you must rasterize line art, use a higher dpi than photos.
- Avoid upscaling: Scaling a low-resolution image up in the layout will produce blur and pixelation.
3. Choose and check color settings
Color handling differs between home printers and commercial presses.
- Commercial printing: Convert artwork to the printer’s requested color space (usually CMYK) and ask for the printer’s ICC profile if they provide one. Soft-proof in your app with that profile to anticipate color shifts.
- Home/office printers: Often accept RGB and convert on the device; leaving files in RGB can preserve more vibrant screen colors but may print differently on a press.
- Spot colors: If the job uses Pantone or spot inks, ensure those swatches are preserved and tell the printer which spots are required.
4. Fonts, text, layers and transparency
Fonts and layered effects are common causes of layout changes at the print shop.
- Embed fonts: When exporting to PDF, enable the option to embed all fonts so text rendering matches the original layout.
- Convert to outlines: For safety with unusual or unlicensed fonts, convert only critical display type to outlines. Keep an editable copy before you outline since outlining makes text uneditable.
- Licensing: Embedding may be restricted by font licensing—check the license if you’re unsure.
- Transparency and effects: Flatten transparency or use a PDF preset that handles transparency correctly to avoid objects changing appearance. Save a copy of the editable file before flattening.
- Remove hidden material: Delete unused layers, hidden guides, or off-artwork objects that could accidentally print or increase file size.
5. Export a print-ready PDF
Use a PDF standard or preset designed for print. These preserve fonts and images and include options for bleed and marks.
- PDF/X presets: PDF/X-1a, PDF/X-3, or PDF/X-4 are common. Ask the printer which variant they accept. PDF/X files often require embedded fonts and defined color spaces.
- Include bleed and marks: When your document uses bleed, enable the crop marks and set the export bleed to match the document bleed.
- Image compression: Avoid heavy downsampling or high JPEG compression for color images; choose quality settings that keep images sharp while keeping file size reasonable.
- Metadata and layers: Flatten or remove unnecessary layers unless the printer requests a layered file for prepress work.
6. Proofing and a test print
Proofing catches layout, color and text mistakes before a costly print run.
- Soft proof: Open the exported PDF and inspect at 100% zoom. Check edges near trims, image sharpness, fonts, and color shifts. Use a soft-proof profile if you have the press ICC profile.
- Spell-check and contact details: Run a spell-check and re-check phone numbers, addresses and dates. These are frequent last-minute errors.
- Test print: Print a single-page proof on the target device. For commercial jobs, request a press proof or contract proof from the printer for color-critical work.
- Physical checks: If the job includes folds, creases, die cuts, or special finishes, inspect a physical mock-up or a printed proof to confirm alignment.
7. Before you send the file: what to confirm with the printer
If you’re using a print shop, ask these questions up front and follow their file instructions exactly:
- Which PDF standard or export preset do you prefer?
- What bleed size and crop mark style should I use?
- Do you need single pages or imposed spreads?
- Do you require an ICC profile or a specific color workflow?
- Do you want fonts embedded, or should I convert text to outlines?
Save two final files: a labeled print-ready PDF (for example ProjectName_PRINT.pdf) and a separate editable source file (ProjectName_EDIT.indd or .ai). Keep a copy of the editable file before any destructive steps such as flattening transparency or outlining text.
Following these ordered checks—page setup, image resolution, color, font safety, PDF export, and careful proofing—will eliminate most printing problems and reduce reprints and delays.
